What is a User?
HammerTech defines a User as an individual working for the company licensing the software (i.e. the General Contractor). When someone working for a Subcontractor has a login to HammerTech, they are also considered a User, but they are referred to as either a Primary Contact or a Nominated Representative.
General Contractor Users
This article is focused on creating a new User profile for a person who works for the General Contractor.
Subcontractor Users
Primary Contacts and Nominated Representatives are set up and managed through the Employer's profile. For more information about these roles, see here:

Inducted Workers, Visitors, etc
Other individuals, such as inducted workers, do NOT have a login to HammerTech. Their profiles are managed via the Personnel and/or Employers modules.
Creating a new User:
- Log into HammerTech
- Select Administration > User Management
- Select the blue + button on the top right-hand side of the screen
- Type in the user's email address and select Validate
- If the email validation was successful, you can continue with the configuration of the users profile
- Enter their Full Name, Mobile and Job Title
- Select the appropriate User Type

If the user is to be a Region Admin OR Project Admin, select Standard User.
You will then configure the Region/Project Admin setting a little further down, when selecting Projects.
- Select whether you would like to apply a User Permission Set to this user

Now we configure permissions - Using the Current Projects box, you can select which specific Regions and/or Projects the User will have access to OR you can select All Projects to add them to all available Regions and Projects
Selecting specific projects:
- This will add the User to just the selected Projects.
- Site Notifications will be selected, you can uncheck any as needed
- Select the relevant checkboxes for other selectable permissions, as required

Selecting specific regions:
- This will add the User to that Region and all Projects within it.
- Site Notifications will be selected for all projects, you can uncheck any as needed
- Select the relevant checkboxes for other selectable permissions, as required

Selecting all projects:
- This will add the User to all current Regions and Projects.
- Site Notifications will be selected for all projects, you can uncheck any as needed
- Select the relevant checkboxes for other permissions, as required
- This can be done for individual Regions and/or individual projects

Permissions explained:
- Region Admin: This user has the same rights as a Standard User, with the added administrative rights of creating new users and creating new projects - within the region/s they have been assigned to. Also of note, by assigning a User as a Region Admin, it automatically adds them as a Project Admin to each project in that region.
- Project Admin: This user has the same rights as a Standard User, with additional 'project' administration rights so they can administer the project they are assigned to. Including configuring Permit Zones, setting up the Location Hierarchy, uploading documents etc.
- Individual Site Diary: Provides Users with the ability to fill out their own Site Diary entry each day.
- Site Diary Admin: Provides the User access to other Users Site Diaries, so they have the ability to approve, lock and open site diary entries
- Site Notifications: The user will receive system default notifications
- Confidential Data: Allows the user to view and edit certain confidential information relating to their workers, for example, Contact Details, Vehicle Details, Address, Emergency Contact, etc.
Future Projects - Select if you would like to automatically add the User to any future projects that are created in the future. If you select Yes, it will expand the screen to show all the available Regions (if any are set up) and/or an option called Projects without Region. As the future projects do not yet exist, you will only have the choice to select either a region and/or no region to capture any projects created in those groups, in the future.
It is up to you whether you want the User to be automatically added to ALL future projects, or just a select list. Depending on your preference, this will dictate what you select in the menu here.
When a new Project is created in the future, if it is added to the region you have selected in the User's profile, they will get access. The same applies for future projects created under no region, if that was selected in the User's profile, they will get access.
NOTE: If a User is a Region Admin for an existing region (including the projects within that region) and you select that Region under Future Projects, they will automatically be assigned as a Region Admin to any projects created in the future, within that region.
NOTE: You are not able to assign a User with Project Admin right for future projects. This will need to be done after the new project is created.
NEXT STEPS
The user will receive an email with a link they need to click on in order to activate create their account and set up a password.
You can check if the user has completed setting up their account by navigating to their profile.
- Log into HammerTech
- Select your required project from the Company Overview drop-down in the top right hand corner
- Select Administration> User Management
- Filter by: User Type, Status, User Permission Set or Job Title. For example, to filter for the Internal Users, select User Type
- Then, select the tick box Internal Users > Apply
- Search for the user by name or email via the search bar
- Once you find their profile, it will display as either Active or Account Awaiting Activation. If they haven't activated yet, there is an option to send a reminder will appear.
